F*IT is a software platform for Australian trade and service businesses. Tenants use it to manage customer relationships, scheduling, invoicing, marketing, and advertising. When a tenant uses F*IT to manage their operations, F*IT processes personal information about that tenant's customers as a data processor on the tenant's behalf.

This policy is framed under the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

Tenants input data about their own customers (contacts, job records, invoices, notes) into F*IT. We process this data as a data processor acting on the tenant's instructions. The tenant is the data controller for their customers' data and is responsible for ensuring their use of F*IT complies with applicable privacy laws.

4.1 Sub-processors and service providers

We engage third-party service providers to operate the platform. These providers act on our instructions and may not use your data for their own purposes.

We may disclose personal information where required by law, court order, or regulatory demand, or where disclosure is necessary to protect the rights, property, or safety of F*IT, our tenants, or the public.

5. Google API user data — Limited Use disclosure

Google API Services User Data Policy compliance statement: F*IT's use and transfer of information received from Google APIs to any other app adheres to the Google API Services User Data Policy, including the Limited Use requirements.

When you connect a Google service to F*IT, we access only the data scopes you authorise. The following principles govern how we handle Google user data:

5.1 Google Ads data

Data accessed under the https://www.googleapis.com/auth/adwords scope is used solely to operate the Google Ads Manager feature: creating and optimising campaigns on your behalf, reporting performance to your dashboard, and generating Coach insights. This data is not shared with other tenants or used for any purpose outside your account.

5.2 Gmail data

Data accessed from Gmail (where the Gmail integration is enabled) is used solely to surface customer email threads in your F*IT inbox view and to allow AI-assisted drafting of replies on your behalf. We do not index Gmail data for cross-tenant analysis. Only service-mailboxes (not personal owner mailboxes) are eligible for connection.

5.3 Google Calendar data

Calendar data is used solely to create, update, and display job appointments within the F*IT scheduling interface and to avoid double-booking when the AI Dispatcher schedules new jobs.

5.4 Google Search Console data

Search Console data is used solely to provide website SEO performance reporting within your F*IT dashboard and to inform the Watcher agent's content gap analysis for your business website.

6. Retention and deletion

To request deletion of your data, email team@fxit.au with the subject line "Data deletion request" and your account email address. We will action the request within 30 days.

We implement security measures appropriate to the nature of the data we hold:

We may update this policy from time to time. When we make material changes, we will notify active account holders by email and update the "Last updated" date at the top of this page. Continued use of the Service after changes take effect constitutes acceptance of the updated policy.
